Band Booster Meeting Minutes
December 6, 2010

Secretary’s Report: Minutes from November meeting approved.
Treasurer’s Report: Student accounts: $9,903.26 General Fund: $28,838.01
Shakos have been paid for, marching band staff has been paid and everything for the band banquet except for Pellman’s has been paid. Indoor drum line and guard expenses are still pending.
Marching band meals….each family was charged $25 for meals this year. This amount came very close to offsetting meal expenses. Should we take the same approach with indoor drum line and guard? We may have transportation costs this year or drum line may have to do fewer shows due to district budget cuts. Mr. Poole suggests charging drum line/guard students $10 for costs. We are feeling district budget cuts. Perhaps $15 or $20 would be more reasonable. Another idea: $25 participation fee could cover t-shirts and other expenses. As always, financial hardships will be handled on a case-by-case basis. Formal motion made and seconded: $25 non-refundable fee for drum line students. This includes music books, t-shirts, staff services, other related expenses.
Director’s Report:
We have had an overwhelming response to drum line this year. We are getting more students who play other instruments, and more upperclassmen are joining. Last week we had 4 rooms rehearsing. Indoor drum line is a training ground for learning how to play percussion.
This has been a great weekend for us musically. Sun. evening the jazz band played for the Shrewsbury Christmas tree lighting. Sat. we had 7 students audition for district band. John Kirby was selected to perform in the district band. The audition was a good experience for all. This is highly competitive, especially for percussion, flute and trumpet.
York County Band Festival: new this year, Feb. 4, 5 at Central High School. The idea is to rotate it around the county. All district band participants plus 10% of each band population is eligible by director selection. We will send 9 students this year. We hope to host sometime in the future.
Jazz band doing well.
Winter Concert coming up: Jazz Band, Orchestra, Choir The music will move back and forth between groups. Two student actors will deliver a narrative throughout the concert. It will be a continuous performance. We are hoping to take it further next year—multimedia, lighting, several shows, charge admission—there are several ideas in the works.
Symphonic Band Winter Concert (Wed, Jan 26, 2011) is 3 days after marching band returns from Florida. Seating is completed—many of our students were very well-prepared for their auditions. We had 3 students agree to try different instruments. This helps balance our band. If the directors could choose the instruments, the band would be very different.
Concerto competition auditions to start next week.
Fundraising:
Lottery Jere Sechrist will order the tickets next week. We will run the fundraiser in March, so we’ll have Jan. and Feb. to sell the tickets. We will have them for sale at the Battle of the Bands and Basket Bingo. We used Power Printing last time. We have used Al’s Printing in the past—prices were good. We will look into printing them ourselves. Tina will work with Jere to find the best price for ticket printing.
One parent expressed that she did not know how the lottery worked and suggested that perhaps there were other parents in the same situation. You buy a $10 ticket. You have a chance to win every day of the month based on the PA lottery. Prize = $100 on weekdays and $150 on weekends.

Florida Trip Wed, Jan 19, 4:00 report time. Mandatory meeting Tues, Jan 4 at 7pm in the SHS band room for students going on the trip and their parents.
Please let Mr. Poole know if finances are difficult. This will be handled privately on a case-by-case basis.
We need somebody to drive the trailer to Florida. Mileage and hotel fees are covered for the driver.
Notice will be sent to all families prior to the meeting. The itinerary is coming together.
KIDA Show: March 5, 2011 Donna Schriver will chair, Angela Mays will co-chair.
Jazz Fest, April 2, 2011 We have 6 bands committed: Sudbrook, York Suburban, SMS, SHS, York College, TimeOut. We have not made an offer to Shippensburg. They would make the show very long. Idea: have Shippensburg go first? Theme: Magic of Jazz. We will start committee meetings in January. We need volunteers to start thinking about how they would like to help. Do we want to open the logo art to students? Jere suggests that we open it up to students and see what they come up with. This should begin as soon as the trip and winter concert are done.
Fall 2011 USSBA Show: There is one date left: We have expressed our interest. USSBA will get in touch with us.
SMS Concert: Dec. 15 We have hot chocolate and ginger ale. We need volunteers to donate baked goods. Lynne Hood will help, Angela Mays will be there, Tina Pelensky will help.
6th grade concert at SMS Wed, Dec. 8 Tina Pelensky will be there, will bring tablecloths. Donette will put in a request for tables for both the 6th grade and the middle school concerts. Angela will bring cups. Angela will buy festive cookies for 6th grade concert.
Battle of the Bands, Jan. 8, 2011 We might have a scheduling conflict with one of our judges. The Silvas are working on getting judges. Angela has delivered information and a power point presentation to local dance and music studios to advertise. Do we have a sound system? Mr. Poole will email a small list to Kelly Silva of sound system items we would like to borrow if possible, perhaps from Inspire. Mr. Poole will talk to Gary Twaddle about it. We might need a person to run the sound board. Tables in the lobby will be provided for info from music schools, studios, etc. Brian Furio has volunteered to be the M.C. again—thank you, Brian. Marissa Silva has offered to help, perhaps paving the way to have students M.C. in the future. Idea: have last year’s winners perform. We will require a $20 registration fee, fee returned to non-winners who perform. This helps confirm their commitment. Idea: Band made up of school staff members? Good idea, let’s go for it! We have 5 or 6 bands interested. Sound system check and set-up will be earlier in the day this year. Thank you to Josh Silva for creating graphics. Posters are being created. We would like to have posters at the other concerts in Dec. We will get it into programs or announced at other upcoming events. Will advertise on Facebook. We need somebody to coordinate the food—Tedd cannot be there that evening. If you have read this far, the Hood family wishes you a happy holiday season!
Basket Bingo: Jan. 30, 2011 We have baskets, we have license. We probably will not be able to offer Vera Bradley bags unless we find a really good deal soon. New idea: bronze, silver, gold level of contribution. Committee would assign baskets to people instead of allowing to everyone to choose one—that gets complicated. We need a food coordinator. Cheryl will talk to Tedd about the food. Be sure to advertise to alumni families.
Looking ahead: we need to start thinking about the executive board for the 2011-12 school year.
