Band Booster Meeting

September 10, 2007

Attendees:  Jeannine Williams, Lorna Deibert, Bonny Lutter, Pat Macomber, Keith Hicks, Donette Yeilding, Sheryl Delp, Debbie Auburger, Donna Schriver, Valerie Crone, Bethany Meyer, Michelle Spurlock, Lynne Hood, Kathy Renzi, Chris Poole.

Meeting called to order at 7:04p.m.

Secretary’s Report   Correction to minutes of last meeting:  The car wash actually earned $520.00.  Minutes approved as corrected.

Treasurer’s Report   Report submitted by Donna Schriver.  Report accepted.

Director’s Report   Mr. Poole at a school district meeting—will join us as soon as possible.

Fundraising

§        Spirit Table   Running smoothly, brought in $140.00 and $200.00 respectively at first two home games.

§        Market Day   Doing well.  Next deadline 9/26/07, delivery on 10/2/07.  Donette Yeilding suggested that Debbie Auburger send out a mass email a week or so before the deadlines to remind people to order.

§        No Hassle   Still bringing in donations. The total to date is $2,210.00, which is more than the total for last year.

§        Pellman’s  Pies and Cakes  Kathy Renzi suggested that a fall sale might conflict with Market Day, which does a pie promotion in the fall.  Donette Yeilding and Bethany Meyer replied that we have always done it in the fall. A committee will explore this issue further.

Old Business   

• Web site    Donna Schriver learned that NFDC will host a site of a certain capacity at no charge.  We have requested this.  We plan to start with that and eventually upgrade and pay for more space. The current plan for an address is warriorbands.org.  We will try to get a link on the district web site.

• Steger Scholarship   There is currently $1,658.67 in the fund.  Mr. Keagy strongly encouraged us to get the amount up to $5,000.00 or $10,000.00 so the scholarship can be endowed. Matching funds from the foundation are a possibility.  Bethany Meyer asked if the boosters can put some funds into this, especially as this is not a trip year—possibly money earned at the basket bingo.  Several people agreed that this was a good idea.  Lynne Hood suggested having donation forms available at the Spirit Table and at all fundraisers just to remind people and to give them the opportunity to contribute. Debbie Auburger will get a schedule for Brodbeck’s Band to Donette Yeilding so we can give them the opportunity to donate.  The Glen Rock Carollers would also be a good group to ask for donations. Bonny Lutter has discussed this with Karl Steger.

• By-laws revision   Donette Yeilding suggested we set a deadline for completion.  Lynne Hood suggested that the officers work together on the job descriptions at an executive board meeting so all would be in agreement.  Several officers agreed.

• Non-Profit Status    It was pointed out that other groups in the district work under the umbrella of the Foundation, using the Foundation’s tax ID #.  Bethany Meyer will talk to Shelly Stoley and to someone from the Shrewsbury Elementary PTO about working under the Foundation.

• Marching Band Show Prep   The props will be ready for this coming weekend.  Sue Meyers is the person who painted the backdrop and the Post Prom Party committee donated it to the band.  Debbie Auburger will send Sue a thank you note.  Bethany Meyer will send thank you notes to our seat cushion advertisers.

New  Business 

§        Ticket sales   Michelle Spurlock and Cheryl Duncan volunteered to handle ticket sales for Cavalcade of Bands competitions.  We still need one more person. Volunteers can contact Michelle, Cheryl or any board member.

§        Indoor Guard Floor   This item is in the budget.  Chris Poole will talk to Breanne Packard and get the order process going.

Other Business 

§        The Jazz Fest is scheduled for April 5, 2008.  Pat Macomber requested that the Jazz Fest be put on the agenda for the next meeting.

• Debbie  Auburger thanked the boosters for the sympathy card sent to acknowledge the death of her father-in-law.  Debbie pointed out that Roger Olver recently lost a sister to cancer—Debbie will send a card from the boosters.

Director’s Report   Chris Poole thanked the boosters for the smooth operation of the trip to the York Fair. He expressed appreciation for the active participation of everyone in the booster organization.

The meeting broke out into committees to work on holiday fundraisers, basket bingo, band night, end-of-season marching party and senior night.
