Meeting Minutes
Sept. 8, 2008

Secretary’s Report Minutes from last meeting
approved.
Treasurer’s Report The student account
currently holds approximately $7,000. The available balance in the general
account is about $11,000. This account also holds the Disney trip deposits. In
general, expenses are going up. Detailed report attached.
Director’s Report
- The Hempfield schedule has been handed out (attached).
- Cavalcade of Bands has moved us up this year to the
Liberty class; we will be competing against bigger bands.
- Props: A few of the props need adjustments. They all
look really nice. Mr. Poole would like to thank everybody who helped in any
way with the props. Kim Nace suggested we send a thank you note to all
volunteers, especially grandparents who helped with the props.
- We have a lot of equipment this year—we need a lot of
help moving it on and off the field at games and competitions.
Fundraising
- Auction concessions. We earned approximately
$200.00 at the concession stand we set up at the real estate auction. This
money will go to the general fund. Kim Nace suggests we try it again if we
get the opportunity because we would have made more money if the weather had
been better.
- Sub sales We are going to run sub sales for
band night, homecoming and senior night this year. For $5.00 we will
provide the sub, a bag of chips and a drink. We plan to offer 3 types of
sandwiches, perhaps 4. Bethany Meyer will look into a veggie
sandwich option. At these 3 games we will put up a tent for sub
distribution and have a small tailgate party.
- Candygrams Michelle Spurlock will take care
of candygrams, competition tickets and basket tickets. She will have them
available at practices and before football games.
- Basket Tickets The basket is a Longaberger
basket filled with football season spirit-type items which we will be
raffling off later in the season. It was suggested that we have a band
student or 2 carry the basket through the stands at football games along
with an adult who will sell the tickets. The ticket prices will be 1/$2,
3/$5, 7/$10, 20/$20. At this point we are awaiting approval from SHS
administration to sell the tickets.
- No-Hassle This fundraiser has brought in
$2,375 to date-the best ever! There is NO DEADLINE, so send those letters
out if you need to build your student account. One student has already
reached the $300 general fund contribution—therefore all future fundraising
that student does will go directly into his/her student account.
- TAG Day Tag Day has been rescheduled for
Sunday, October 5 due to rain. This fundraiser is ready to go,
thanks in large part to Tina Pelensky, who really stepped up to help Donette
with this one. Perhaps we can hand out information on this fundraiser at the
next football game. Bonny Lutter will advertise it in the
newspapers. Tina Cheek has volunteered to coordinate a table at
Wal-Mart on Tag day. This opportunity is for people who are unable to
participate in the more traditional form of Tag day.
New Business
- The boosters plan to provide a meal for the band
students on Sat. before they leave for the Hempfield show. We will probably
provide subs; let’s try to get donations of drinks, fruit and chips if we
can. Kim Nace offered to make phone calls to ask for donations.
- Band Night October 10 Kim Nace and
Kathy Renzi will be taking care of sandwich orders, Donna Schriver
will help. The sandwiches come from Sammy’s Sandwiches. Band members can
sell tickets to the game on 10/10 @ 100% profit. We will have music, food,
games and face-painting at the tailgate party. The SHS band members need to
reach out to the younger band members and get them involved in the games and
face-painting—make them feel welcome. Perhaps we could have a band student
or 2 at the food table to welcome the younger musicians and point out the
activities to them.
- Senior Night October 17 There will be a
reception in the cafeteria after the game. We need Janice or another
photographer to take pictures of the seniors with their parents. Bethany
Meyer will take care of the baby pictures of the seniors. We are
responsible for providing drinks and paper goods for the reception.
- All Sports Booster Club Donette Yeilding will
attend the next All Sports meeting to begin a dialogue about how band
boosters can get involved with fundraising at football games. Options which
have been considered include: french fry stand, old concession stand, one
night or one window per game at the new concession stand, season tickets
sold by band members. We will stress how many people the band brings and
attracts to the games, and the fact that our band students, their families,
and the visiting band spend a lot of money on concessions. We are a
championship band!!
Next meeting: Mon, October 6, 2008, SHS band room,
7:00pm All are welcome and encouraged to attend……..many hands make light work.
